Dispatch Check List

This checklist is a guideline, not a complete list of responsibilities. All other duties and procedures still apply. The checklist may be updated as needed to ensure consistency and teamwork. It would be best to leave this page open during your shift and check off selections as you work through your shift.

START OF SHIFT - PASS DOWN & CONTINUITY

Conduct full pass down with the outgoing dispatcher: Discuss pertinent updates, incidents, follow-ups, or issues requiring immediate attention.(Required)
Follow up directly on critical items (not just documenting).(Required)
Verify and document all unresolved tasks from the prior shift:
Record in dispatch log or system.(Required)
Begin taking action or escalate as needed.(Required)

MULTI-DISPATCHER SHIFT COORDINATION

(Required when two dispatchers are on duty e.g., remote + in-house)
Hold a huddle at the beginning of the shift to divide responsibilities and avoid redundancy.(Required)
Predetermine task assignments:(Required)
Example: Remote Dispatcher (e.g., Columbia): Auditing TrackTik reports, officer communication. In-House Dispatcher (e.g., HQ): Lytx audits, vehicle oversight, New Market Public Safety line, and radio traffic.
Ensure real-time collaboration throughout the shift on:(Required)
(Ex. Open issues. Client or officer needs. Unanticipated tasks.)
Share a working task list and update it throughout the shift.(Required)

VEHICLE INSPECTION AUDIT & LYTX OVERSIGHT

Review all TrackTik vehicle inspections:(Required)
Ensure beginning- and end-of-shift inspections are completed.(Required)
Identify and follow up on Int./Ext. Damage, Mechanical Issues, Safety Concerns.(Required)
Confirm officers are properly assigned to vehicles.(Required)
Unassign officers from previous shift if not already done.(Required)
Cross-reference vehicle assignment with inspection reports.(Required)
Audit for red flags in driver behavior: Speeding, Hard Breaking, No Seat Belt, Distracted, etc...(Required)
Compile a list of flagged drivers and notify management when needed.(Required)

TRACKTIK REPORT & POST ORDER MANAGEMENT

Audit TrackTik report queue.(Required)
Approve high-quality reports.(Required)
Return subpar or incomplete reports for correction.(Required)
Create a list of officers needing support and reach out as needed.(Required)
Review post/work orders pending approval:(Required)
Dispatcher must speak directly with the officer (via phone or radio) not just send a blind text.(Required)
Confirm the officer has received the assignment.(Required)
Verify they have reviewed and understand the post orders.(Required)
Clarify any questions or concerns the officer may have.(Required)

MID-SHIFT TASK MANAGEMENT

Monitor: Radio Traffic, Officer GPS Activity/Clock-Ins, Incoming Calls & Requests(Required)
Respond to: Client Calls & Emails, Officer concerns and emergencies.(Required)
Track and begin follow-ups for any emerging issues.(Required)

COMPLIANCE & PATROL TASK PREP

Create a list of follow-up tasks for incoming patrol or compliance officers: Missing NFC Tags, Reported Vehicle or Equipment Issues, Unsolved Site-Level Concerns(Required)
Assign and document these tasks clearly.(Required)
Ensure compliance or patrol is briefed on what to address and where.(Required)
Confirm that issues are not only reported, but also followed up on with outcomes logged.(Required)

End of Shift Checklist

Compile a thorough pass-down for incoming dispatcher: Remaining tasks, Critical Incidents, Officer-Specific Follow-Ups(Required)
Ensure all logs and systems are updated.(Required)
Conduct final checks of:(Required)
